JRA Application Procedures

Categories

Applications may be submitted in the following three categories. These categories are only to define application criteria. There is no quota set on the number of applicants that may apply to each category.

NOTE: Application can be made before the required contract or collaborative agreement has been concluded.

Application procedures

Required documents

Application documents may be in Japanese or English.

  1. JRA Application Forms: 1 original [Cover Page, Forms 1 (A, B, C) and 2 (A, B, C)]
    • Cover Page must be filled out by the applicant (PI).
    • Form 1 must be filled out by the supervising researcher.
    • Form 2 must be filled out by the JRA candidate.
  2. Candidate’s reason for applying and outline of current research: 1 original [Form 3 (A, B, C)]
    • Explain the reason for applying to the JRA program and present an outline of current research (content, significance, potential, etc.). Diagrams and charts may be included as necessary.
    • This form must be filled out by the JRA candidate. All information must be contained within one page.
  3. Candidate’s research record, published papers, etc.: 1 original [Form 4, (A, B, C)]
    • For papers published in academic journals give the following information: Authors, affiliations, journal name, publication date, volume number, and page numbers. Papers that have been submitted but not yet published should be marked, “In submission”. (Papers accepted for publication only.)
    • For oral presentations at academic symposiums and the like: Names of collaborating researchers, affiliations, titles, presentation title, symposium/event name, location, and dates. Mark scheduled presentations, “Scheduled”.
    • List other writings, patents, awards and the like.
    • If there is not enough space on the form, you may give additional information on an attached A4-size sheet of paper.
    • If the candidate has no research record, mark the form, “None”.
    • If the candidate has a medical or dental license, include information on clinical experience and case reports.
  4. Outline of candidate’s research plan: 1 original [Form 5 (A, B, C)]
    • Present an outline of the research the JRA candidate intends to conduct at RIKEN. If this research is different from the research the candidate is conducting at the time of application, explain briefly why this is so.
    • This form must be filled out by the JRA candidate. All information must be contained within two pages.
  5. Letter of recommendation from candidate’s research instructor [Form 6, (A, B, C)]
    In principle, must be written by the supervising instructor at the candidate’s graduate school. If the candidate is currently involved in research at another institution, the letter of recommendation may be written by the supervisor at that institution. If the candidate has a medical or dental license, the letter of recommendation may be written by the candidate’s medical or dental school instructor or clinical training physician.
  6. Candidate’s academic record (1 copy each: undergraduate, master’s & doctorate transcripts: total 3 transcripts)
    Submit undergraduate, master’s and doctorate course transcripts issued by the university and graduate school. If the candidate has not yet completed the master’s course and cannot get a transcript, a certificate of enrollment may be submitted instead. The policy is the same if the candidate has not yet completed the doctorate course and cannot get a transcript; a certificate of enrollment in the doctorate course may be submitted instead.
  7. Candidate’s representative papers (excluding master’s thesis): No more than 3 papers; 4 A4-size copies of each paper
    Only papers in which the candidate has played a major role should be submitted. Submission is not required if the candidate does not have any such papers, but a note should be made of this on the application checklist (8). Papers should be copied on both sides of A4 size paper and stapled together.
  8. Application checklist: 1 original [Word / PDF]
    Items (1) through (7) should not be stapled together when enclosed in the application envelope.
  9. Address label for application envelope: 1 original [Word / PDF]
    To be pasted on an A-4 size envelope.

Download all forms above. Forms may be handwritten or typed.

Notes

  • Application forms are different for each of the three categories A, B and C. Be sure to use the correct set of forms for the category in which you are applying.
    Example: For Form 1, choose Form 1A, Form 1B, or Form 1C, as appropriate.
  • All documents must be compiled and submitted by the applicant (PI).
  • Application documents are to be compiled as follows:
    • Forms for items (1) through (7) should be placed in consecutive order. Prepare 4 copied sets each of Cover Page and Forms 1–5
    • Secure the original and each of the 4 copied sets with a clip at the top left corner.
    • For item (1), the copies must include copies of the photograph on Form 2.

Who should prepare what

  • The applicant (the RIKEN host researcher) must prepare and submit the Cover Page, item 8 (Application checklist), and the application envelope.
  • The RIKEN supervising researcher must prepare and submit via the host researcher, Form 1.
  • The JRA candidate must prepare and submit via the host researcher, Forms 2 through 5, transcript of grades or student registration certificate, and no more than 3 representative papers.
  • The candidate’s supervising professor must prepare and submit via the RIKEN host researcher, item 5 (Form 6).

How to submit

The applicant (head of the host laboratory) must place all documents in an A-4 size envelope, attach the address label (9) and send the sealed envelope to the address given in Submissions and queries. If sending by regular post mail or by delivery service, be sure to register the packet so that receipt can be confirmed.
