Privacy Policy
This Privacy Policy ("this policy") stipulates National Research and Development Agency RIKEN's (below, "RIKEN." ) handling principles for personal information it handles in research or other activities ("personal information").
If a privacy policy, terms of use, or other such document is stipulated for individual research or other activities, the individually stipulated privacy policy, terms of use, or other such document ("individual service policy") regarding the handling of personal information in the relevant research or activity takes precedence over this policy, unless otherwise provided for.
Note that the terminology used in this policy conforms to the Act on the Protection of Personal Information (2003, Act No. 57).

- 1.Purpose of utilization of personal information
RIKEN uses personal information within the scope necessary for the achievement of the following purposes of utilization, or the purposes of utilization stipulated in individual service policies.
Purposes of utilization:
- The promotion, management, announcement, improvement, etc. of all kinds of research and other activities carried out by RIKEN
- The operation of symposiums, facility tours, and other events, etc. hosted or co-hosted by RIKEN
- Communications including sending of RIKEN's publications, materials, surveys, questionnaires, etc.; hearings of opinions and requests; response to inquiries; provision of information; requests for materials, etc., and other business management
- Public relations activities, publication of publicity materials
- The operation, preservation, management, improvement, etc. of websites, applications, and other services operated by RIKEN
- The prevention of and response to misconduct, etc., and RIKEN's facility management such as the control of building access, coordination of facility usage, safety management, and maintaining security
- The handling of legal- or compliance-related obligations or requests such as confirmations, reports, notifications, and audits
- The selection process for hiring; communication with job applicants; statistics, analytics, and record management for hiring; and the management of talent and personnel affairs
- Business related to the entering into and execution of contracts
- Provision to third parties within the scope recognized by this policy, the Act on the Protection of Personal Information, and other applicable laws
- The human or mechanical analysis, quantification, or review of personal information obtained related to the purposes of utilization in the above items
- The execution of business at RIKEN incidental to the above
- Other utilization based on purposes legitimate for RIKEN's activities besides those listed above
- 2.Provision of personal information to a third party
RIKEN does not provide personal information to third parties, except in the cases described below.
- (1)When the individual concerned has given their consent.
- (2)When applicable legal provisions exist.
- (3)When it is necessary to protect the life, body, or property of the individual and it is difficult to obtain the consent of the individual.
- (4)When it is necessary to improve public health or ensure the health of children and it is difficult to obtain the consent of the individual.
- (5)When it is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either of the former two authorities to execute affairs prescribed by law, and obtaining the consent of the individual is likely to impede such cooperation.
- (6)When personal data must be provided for the publication of the results of academic research or for educational purposes. Cases where there is a risk of unreasonable infringement on the rights and interests of the individual are excluded.
- (7)In conducting academic research jointly with a third party receiving personal information, if information must be provided for the purpose of the academic research, including cases where part of the purpose of handling the personal information is for academic research. Cases where there is a risk of unreasonable infringement on the rights and interests of the individual are excluded.
- (8)When the third party being provided with information is an academic research organization, etc., and the third party needs to handle the personal information for academic research purposes, including cases where part of the purpose of handling the personal information is for academic research. Cases where there is a risk of unreasonable infringement on the rights and interests of the individual are excluded.
- (9)When entrusting the handling of personal information to an external contractor or other third party within the scope of achieving the purpose of utilization.
- (10)When providing personal information due to the succession of a business such as a merger, spin-off, or business transfer.
- (11)Other cases where provision of personal information is recognized under the Act on the Protection of Personal Information, and other applicable laws.
- 3.Provision of personal information to third parties overseas
RIKEN does not provide personal information to third parties located overseas (excluding third parties in countries that have a system to protect personal information, which is recognized to be at the same level as that of Japan in protecting the rights and interests of individuals, as defined by the rules of the Personal Information Protection Commission), except in the cases described below.
- (1)Cases falling under Items 1 through 8 of the previous paragraph.
- (2)When the third party located overseas being provided with personal information has established an appropriate system ("standard-conforming system") that conforms to the standards prescribed by the rules of the Personal Information Protection Commission to continuously take measures required for business operators handling personal information regarding handling of personal data in accordance with the provisions in Chapter 4, Clause 2 of the Act on the Protection of Personal Information.
- (3)Other cases where provision of personal information is recognized under the Act on the Protection of Personal Information, and other applicable laws.
If, based on the above 3. Item 2, RIKEN provides personal information to a third party located overseas that has a standard-conforming system. RIKEN is taking the necessary measures to maintain the continuous implementation of the standard-conforming system. - 4.Safety management measures
RIKEN will take all necessary and appropriate measures to prevent the leakage, loss, or corruption of personal information and otherwise ensure that such information is appropriately managed, and while doing so will review and improve its efforts as needed. In the event of leakage, loss, or corruption, RIKEN will immediately take countermeasures and work to prevent reoccurrence. - 5.Requests for disclosure, etc.
A person concerned with the personal information RIKEN retains or their legitimate representative may request the following types of disclosure ("request disclosure.") within the scope recognized by the Act on the Protection of Personal Information.
- (1)Disclosure of the retained personal information related to the person concerned
- (2)Correction of the retained personal information related to the person concerned
- (3)Suspension of use, deletion, or suspension of provision of the retained personal information related to the person concerned
Those requesting disclosure must complete certain procedures, such as filling out the required fields on a form designated by RIKEN and submitting it along with a personal identification document. There is a fee for requesting disclosure of retained personal information. Those who wish to request disclosure should first contract the Personal Information Desk listed in 7. Contact for inquiries.
RIKEN responds to requests for disclosure as appropriate under the Act on the Protection of Personal Information and other applicable laws. Please note that the Act on the Protection of Personal Information and other applicable laws specify certain people who are eligible to request disclosure, and not every request for disclosure is made by an eligible person. - 6.Change in This Policy
This policy may be updated from time to time for any reason. We will notify or request your consent (if necessary under applicable law) of any changes to this policy.
